Executive Assistant to the Founder
This is a unique freelance role in that it combines Executive Assistant skills with Online Business Manager skills.
While a depth of prior experience is ideal, please do not hesitate to apply as long as you are the right culture fit as the person hired for this role will participate in our robust Scalable Ops Manager (SOM) training program from April - October.Â
Role is 10-20 hours per week to start with the opportunity to become full-time.

Who You Are
- You have at least 5 years of experience working with small, service-based businesses in a strategic operations, OBM, or virtual support role
- You have worked in coaching, consulting, or online education businesses and understand their unique challenges
- You’re a systems thinker who can create, manage, and optimize workflows, automations, and digital platforms to improve efficiency
- You are resourceful and thrive in a fast-paced, dynamic environment - problem-solving is second nature to you
- You are proactive and can anticipate needs, manage projects independently, and take ownership of results
- You have digital marketing knowledge as someone who understands email automation, CRM management, funnel setup, and campaign execution
- You can quickly learn and master tools like ActiveCampaign, Kajabi, Monday.com, and automation tools like Zapier
- You take personal accountability and are all about delivering measurable results
- You are detail-oriented and execute with precision while balancing speed and efficiency
- You are a trusted partner to a business owner, helping to execute strategic initiatives
Your Responsibilities
1. Executive & Business Operations Management
- Manage the founder’s email, calendar, travel, and high-priority tasks
- Streamline operations, SOPs, and internal processes to enhance efficiency
- Oversee client onboarding and ensure a seamless customer experience
- Coordinate with contractors and team members, ensuring alignment and accountability
- Track key business metrics and provide insights for improvement
- Organize digital assets, files, and documentation
2. Digital Marketing & Systems Management (This is not a marketing role, but digital marketing experience is required)
- Manage email marketing systems (ActiveCampaign) including automations, segmentations, and tracking performance
- Assist with landing pages, program setup, and digital course management (Kajabi)
- Oversee CRM and lead management to ensure timely follow-ups and engagement
- Set up and troubleshoot marketing tech, including integrations and automation tools
- Repurpose newsletters and podcasts into blogs, LinkedIn content, and marketing materials
3. Project & Launch Management
- Oversee and quality check all components of launches and events
- Manage and review podcast production and promotional content
- Work closely with the social media team and marketing partners to align on strategy and execution
- Ensure client success processes (gift sending, testimonials, community engagement) run efficiently and effectively
4. Systems & Quality Control
- Develop and maintain SOPs to ensure seamless execution of recurring tasks
- Oversee the implementation and adoption of new tech tools and workflows
- Troubleshoot and resolve technical or operational issues quickly
- Ensure all systems and automations are running smoothly with data-driven optimizations
Required Experience & Skills
- 5+ years working in operations, OBM, virtual support, or a similar role in a small, online service-based business
- Strong tech skills and experience managing digital platforms (ActiveCampaign, Kajabi, Monday.com, Zapier, Circle, SmarterQueue, Canva, etc.)
- Ability to troubleshoot technical issues and manage integrations between different tools
- Experience with email automation, CRM management, and operational support for marketing funnels
- Strong project management skills, able to manage multiple moving pieces
- Highly detail-oriented and analytical, able to track performance and recommend improvements
- Experience creating SOPs and process documentation
- Self-starter with excellent time management skills
Nice to Have
- Experience with Notion, Miro, and Go High Level
- Video editing skills
- Previous experience supporting a CEO / small business founder directly
This Position is Not for You If

- You want to be explicitly told what to do and prefer routine and task-based work rather than taking ownership of outcomes
- You only want to lead and strategize and don't want to execute
- You struggle with tech platforms, automations, and optimizing workflows
- You have no interest in learning or leveraging AI
